Senior Associate of Advancement

The Senior Associate of Advancement is a vital member of the Advancement Department at Cities United, reporting directly to the Director of Advancement. This role serves as the operational backbone of the Advancement function, managing day-to-day grant operations, administering advancement systems, creating compelling materials, and coordinating fundraising activities that sustain Cities United's growth. Working across all departments and with external partners, the Senior Associate ensures that systems, communications, and deliverables run smoothly, allowing the Director of Advancement to focus on strategy, major relationships, and department leadership. As the first hire in a growing Advancement function, this role will evolve over time, taking on increasing ownership and leadership as capacity builds.

Knowledge & Skills

Demonstrated experience supporting fundraising, grant management, or donor engagement work
Excellent written and verbal communication skills, with strong attention to detail and the ability to synthesize complex information
Strong PowerPoint and visual design skills; ability to create engaging, professional presentations and materials
Highly organized and systems-oriented; comfortable managing databases, files, calendars, and complex workflows
Ability to work across multiple projects simultaneously, prioritize effectively, and meet deadlines
Ability to work independently and take initiative in a fast-paced environment
Comfort with ambiguity and building processes while executing work
Experience or interest in capacity building, training, or workshop support preferred
Familiarity with philanthropy, public safety, or community-based nonprofit work preferred
Commitment to continuous learning and professional growth
Alignment with Cities United's mission: Supporting a national network of mayors and other leaders who are committed to building comprehensive public safety ecosystems designed to reduce community violence and its impact on young Black men and boys, while also creating new pathways for them to thrive

Key Responsibilities

Essential Duties & Responsibilities

Serve as the primary day-to-day manager of Cities United's grant portfolio, maintaining tracking systems, calendars, and compliance workflows
Draft grant proposals and reports under the strategic direction of the Director of Advancement, ensuring alignment with organizational priorities and funder requirements
Coordinate information gathering across departments to support timely, high-quality submissions
Conduct prospect research to identify potential grant and philanthropic opportunities
Maintain organized grant files and documentation
Lead the day-to-day management and administration of all advancement systems, including donor/grant databases, tracking tools, and filing systems
Maintain data accuracy and conduct regular system audits to identify and resolve gaps
Document and update standard operating procedures (SOPs) for grant management, reporting, and stewardship
Serve as the primary point of contact for advancement system access, troubleshooting, and cross-departmental data needs
Ensure advancement systems integrate effectively with other organizational platforms
Collaborate across departments to collect stories, data, and impact information that inform proposals, reports, and donor engagement materials
Support the development of case statements, fact sheets, and other fundraising collateral
Lead execution of philanthropic prospect scans for partner jurisdictions (approximately 1-2 per quarter), identifying local and national funding opportunities and presenting findings to CBOs and jurisdiction partners
Support the Director of Advancement in developing and rolling out Fundraising 101 workshops and capacity-building programming for CBOs and ecosystem partners, including curriculum design support, materials creation, logistical coordination, and progressive ownership of workshop delivery
Support funder engagement sessions during jurisdiction visits, progressively taking on co-leadership and independent facilitation as skills and confidence develop

Must be able to lift 30 to 50 lbs.
WORK ENVIRONMENT
This is a hybrid position; the Associate of Finance is expected to work in the office at least 3 days a week, located in Louisville, KY.

Travel required 6+ times a year.

Qualifications

Required
  • 5+ years of software engineering experience
  • Strong proficiency in Python, Java, or Go
  • Experience with distributed systems and microservices
  • Solid understanding of database design and optimization
  • Experience with cloud platforms (AWS, GCP, or Azure)
Preferred
  • Experience with Kubernetes and containerization
  • Background in machine learning or data engineering
  • Open source contributions
  • Experience leading technical projects
