The Executive Assistant to the Executive Director plays a vital, mission-aligned role at Cities United. Reporting directly to the Chief of Staff, this position provides high-level administrative support that enhances organizational impact. The ideal candidate is proactive and resourceful, able to anticipate needs, offer thoughtful solutions, and manage multiple priorities while working under the clear direction and guidance of the Chief of Staff. This role requires strong organizational and communication skills, sound judgment, professionalism, and the ability to work under pressure to handle a wide variety of activities and confi dential matters with discretion. Responsibilities include coordinating scheduling, supporting day-to-day offi ce operations, and ensuring the effectiveness of Cities United.

  • Advanced working knowledge of all Microsoft Office applications, Google Suite, Monday.com, and social media web platforms Ability to handle sensitive and confidential situations with diplomacy
  • Aptitude for resolving minor technical issues with computers, printers, and other office equipment.
  • Proactive and creative approach to resolving issues and finding solutions

Key Responsibilities

Essential Duties & Responsibilities

  • Provide comprehensive support services to the Executive Director that ensure outstanding communication and responsiveness
  • Provide sophisticated calendar management; prioritize inquiries and requests, troubleshoot confl icts with little guidance, make judgments and recommendations to ensure smooth day-to-day engagements
  • Support the Executive Director with internal and external communications
  • Support and manage a high volume of requests and projects to meet the objectives of the Executive Director
  • Support scheduling and travel logistics for the Executive Director
  • Prepare and edit correspondence, presentations, reports, and memos
  • Complete expense reports and manage correspondence with vendors and partners
  • Support the Executive Director in strategic communications, organizational strategy, and all other special projects as assigned
  • Organize meetings on behalf of the executive director
  • Provide support to the Chief of Staff as liaison to the Board of Directors and other responsibilities as assigned
  • Maintain quality fi ling and communications systems, including contact management, document management, and archiving
  • Support the Executive Director with strategic partnerships, including local offi cials, national partners, and philanthropic relations

ORGANIZATIONAL RELATIONSHIPS

Will primarily interact with the Executive Suite, Deputy of Impact, Department of Impact Team, Partners, and Other Team Members. Will lead the Narrative Change team: Sr. Associates and Associates.

‍PHYSICAL DEMANDS
Must be able to work for extended periods of time from the laptop and cellular phone. Must be able to lift 30 to 50 lbs.
WORK ENVIRONMENT
This is a 100% remote position with access to dedicated office space located in Louisville, KY, and Washington, DC.  Travel required 6+ times a year.

Qualifications

Required
  • 5+ years of software engineering experience
  • Strong proficiency in Python, Java, or Go
  • Experience with distributed systems and microservices
  • Solid understanding of database design and optimization
  • Experience with cloud platforms (AWS, GCP, or Azure)
Preferred
  • Experience with Kubernetes and containerization
  • Background in machine learning or data engineering
  • Open source contributions
  • Experience leading technical projects
